Account & Data Deletion Policy
Last Updated: 01 August 2026
This Account & Data Deletion Policy explains how account holders may request deletion of a Loop Syntax account and associated data.
Account deletion is separate from subscription cancellation.
1. Requesting Account Deletion
An authorised account holder may request permanent deletion of a Loop Syntax account.
Where an account deletion function is available within the Loop Syntax platform, the request may be submitted through the relevant account settings.
Alternatively, a deletion request may be submitted by email to:
Use the subject:
Account Deletion Request
Please provide sufficient information to identify the account, including:
- registered email address;
- account or organisation name;
- account identifier, where available; and
- confirmation that permanent account deletion is requested.
Do not send passwords, API secrets, or other authentication credentials by email.
2. Verification
Account deletion is a security-sensitive action.
Before processing a deletion request, Loop Syntax may take reasonable steps to verify:
- the identity of the requester;
- ownership or authorised control of the account; and
- authority to delete an organisation, Partner, or customer workspace.
Additional verification may be required for administrator, Partner, or business accounts.
3. Data That May Be Deleted
Depending on the account configuration and services used, deletion may include data associated with the account such as:
- user profile information;
- account settings;
- AI assistant configurations;
- assistant instructions;
- conversation records controlled by Loop Syntax;
- uploaded files;
- knowledge-base information;
- vector-store associations;
- workflow configurations;
- integration configurations;
- customer or product records stored within the account; and
- other account-related platform data.
Where appropriate, certain information may be anonymised rather than physically deleted.
4. Data That May Be Retained
Some information may be retained after an account deletion request where reasonably necessary for:
- legal or regulatory compliance;
- accounting and transaction records;
- security;
- fraud and abuse prevention;
- investigation of misuse;
- dispute resolution;
- enforcement of contractual rights;
- protection of Loop Syntax or third parties; or
- establishment, exercise, or defence of legal claims.
Data may also remain temporarily within secured backup, disaster-recovery, logging, or archival systems until normal retention cycles expire.
Such retained information will remain subject to appropriate safeguards.
5. Connected Third-Party Systems
Deleting data from Loop Syntax does not automatically delete information stored independently by third-party services connected to the platform.
Examples may include:
- CRM platforms;
- messaging platforms;
- ERP systems;
- payment providers;
- external databases;
- automation platforms; and
- other integrated services.
Customers are responsible for managing information held independently by those third-party providers.
6. Customer-Controlled Data
Loop Syntax may process personal data on behalf of business customers or White Label Partners.
Where the relevant customer or Partner controls the data, Loop Syntax may require the data subject to direct a deletion request to that organisation.
Loop Syntax may assist the relevant customer or Partner with deletion where appropriate and subject to applicable contractual obligations.
7. Partner and White Label Accounts
Deletion of a Partner or White Label account may affect associated:
- customer workspaces;
- branded environments;
- account configurations;
- connected domains;
- integrations;
- AI assistants; and
- business data.
A Partner requesting account deletion is responsible for ensuring that it has authority to delete affected customer information and for handling any required communication with its customers.
Loop Syntax may require additional confirmation before deleting a Partner-level account.
8. Subscription Cancellation Before Deletion
Account deletion and subscription cancellation are separate actions.
Customers with an active recurring subscription should cancel the applicable subscription before requesting permanent account deletion.
Deleting an application user profile should not be assumed to cancel a separately maintained subscription unless Loop Syntax expressly confirms that cancellation has occurred.
9. Effect of Account Deletion
Once permanent deletion has been completed:
- access to the deleted account will cease;
- affected AI assistants may stop operating;
- connected workflows may stop functioning;
- associated files and configurations may no longer be accessible;
- integrations may be disconnected;
- account data may become unrecoverable; and
- restoration cannot be guaranteed.
Customers should export or preserve any information they are required to retain before requesting deletion.
10. Pending Legal, Security, or Account Matters
Loop Syntax may delay or limit deletion where reasonably necessary to address:
- an active security incident;
- suspected fraud;
- an unresolved contractual dispute;
- legal preservation requirements;
- regulatory obligations; or
- other circumstances where retention is permitted or required by applicable law.
11. Processing of Deletion Requests
Loop Syntax will process verified deletion requests within a reasonable period, taking into account:
- account complexity;
- connected services;
- Partner or organisation-level dependencies;
- security verification;
- applicable legal requirements; and
- technical retention and backup cycles.
Loop Syntax may contact the requester if additional information is required.
12. Changes to This Policy
Loop Syntax may update this Account & Data Deletion Policy from time to time.
The current version will be published on the Loop Syntax website together with the updated date.
